With the Housekeeping module, it is possible to manage the daily operations of the hotel completely digitally. The daily tasks are automatically made available in Leviy via the PMS. The Housekeeping manager can plan and organise all daily tasks directly online. Click here to learn how to create a planning in Leviy. Would you like to make changes after the planning has been made? Then follow the steps below.
Changes that can be made are:
- Changing the sequence of the assigned rooms: Dashboard & App
- Changing an already scheduled task in the Dashboard
- Change the status, task, label of remark of a unit
- Changing the assigned Room Attendant: Dashboard & App
All changes to the Dashboard start with the following two steps:
1. Use the toolbar to navigate to the required Object
2. Click on Housekeeping in the local navigation on the left
Changing the sequence of the assigned rooms
Dashboard
To change the sequence of assigned rooms, first follow steps 1 and 2 as mentioned above. The sequence of assigned rooms can be changed in two ways.
- Sort by room number, by vacant rooms or by occupied rooms
- Manually dragging one or more rooms up or down the list
3. Click on the name of the Room Attendant
The Room Attendant's schedule appears on the right-hand side of the screen.
4. Adjust the order in one of the following ways:
- Click on Sort by and select how you want to sort; Room Number, Vacant Rooms at the top or Occupied Rooms at the top
- Click on the room you want to move and drag it up or down
App
1. Go to the Room Attendant via Housekeeping
2. Click on the dots on the right of the room and drag it up/down
Changing an already scheduled task in the Dashboard
It is possible for a task to change during the day, e.g. a Checkout to a Stayover when guests book an extra night. To change the cleaning task, first, follow step 1 and step 2 listed at the top of this article.
3. Remove the task from the Room Attendant's schedule
a. Click on the name of the Room Attendant
The Room Attendant's schedule appears on the right-hand side of the screen.
b. Select the rooms you want to delete by checking the Checkboxor clicking Select All
c. Click on Unlink
d. Click on OK
4. Change the cleaning task of the unit
a. Click on Units in the local navigation
b. Select the unit for which you want to change the cleaning task: the line will turn yellow
c. Click on Actions at the top right and then on Change Status
A popup screen appears where you can change the status of the unit (room)
d. Under Task, select the new task for this unit
e. Then click save and the task is changed
5. Plan the modified task
a. Click on Housekeeping in the local navigation
b. Click on Add next to the name of the Room Attendant
c. Select the Unit you want to assign to the Room Attendant
d. If necessary, select the Supervisor at the bottom of the pop-up screen
e. Click on Confirm
Change the status, task, label of remark of a unit
Follow the steps below to add, remove or edit existing statuses, tasks, labels or remarks of units.
Click on Units in the local navigation on the left
4. Select the unit(s) for which labels need to be modified
5. Click on Actions and then Change Status
Enter the information of one or more fields you want to change
a. Select the required Status from the drop-down menu
b. Select the required Occupancy status from the drop-down menu
c. Select the required Task from the drop-down menu or remove the task by checking the Checkbox
d. Select the required Label from the drop-down menu
e. For Remark, write down the required text
6. Click on Save
The label of the selected unit(s) has been changed.
Take note - Changing labels, remarks or assigning an employee is only possible for units of the same unit category. - The above changes are only possible for units that are not (yet) assigned to a Room Attendant.
Changing the assigned Room Attendant
Dashboard
It can happen that rooms are changed during the day by Room Attendants, for example, because the Room Attendant is behind schedule for various reasons or because rooms have not yet been checked out, which means that the Room Attendant cannot yet clean these.
To change the assigned Room Attendant of a room, follow the steps below.
3. Remove the task from the Room Attendant's schedule
a. Click on the name of the Room Attendant
The Room Attendant's schedule appears on the right-hand side of the screen
b. Select the rooms you want to delete by checking the Checkboxor clicking Select All
c. Click on Unlink
d. Click on Confirm
4. Plan the modified task
a. Click on Housekeeping in the left menu
b. Click on Add next to the name of the Room Attendant
c. Select the Unit you want to assign to the Room Attendant
d. If necessary, select the Supervisor at the bottom of the pop-up screen
e. Click on Confirm
App
1. Go to the unit you want to assign via Housekeeping or Units
2. Under 'Actions', click the Assign Room Attendant button
3. Click on the name of the Room Attendant. The list of employees appears
4. Select the Room Attendant you wish to assign to the room
5. Click on Assign
